How we handle your personal data when you contact us or use this website.
Who we are
Keystone Southgate Design & Planning (“we”, “us”) is a sole-trader planning and design consultancy based in Cardiff, working across Wales. We are the data controller for the personal data described in this notice. You can reach us at info@keystonesouthgate.uk.
What we collect
- Enquiry details you give us through our contact form or by email — your name, email address, phone number (if provided), property location and the details of your project.
- Usage data if you consent to analytics cookies — see our Cookie Policy.
How we use it, and our lawful basis
- To respond to and manage your enquiry and provide our services — on the basis of your consent and, where you become a client, performance of our contract with you.
- To understand and improve how the website is used — on the basis of your consent to analytics cookies.
Who we share it with
We do not sell your data. We use a small number of trusted processors to run the business: our website host and form handling (Cloudflare), our email provider (Zoho), and — only with your consent — analytics providers (Google Analytics and Microsoft Clarity). Each processes data on our behalf under their own terms.
How long we keep it
We keep enquiry correspondence for as long as needed to deal with your enquiry and for a reasonable period afterwards in case you get back in touch, then delete it. Client records are kept as long as required for our legal and tax obligations.
Your rights
Under UK GDPR you have the right to access, correct, delete or restrict use of your personal data, to object to processing, and to data portability. To exercise any of these, email us at info@keystonesouthgate.uk. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.

We may update this notice from time to time. The date at the top shows when it was last revised.
